Triggers - Address Format

When an event is triggered, the addresses in the TO, CC and BCC are processed and resolved. The following describes the format of these addresses.

Type

Description

Separator

Multiple addresses can be entered in a single field by separating them with a comma.

Mobile Phone

A plain mobile phone number can be entered in either local or international format. Local mobile phone numbers will be converted to international format by replacing the first 0 with 61. Only numbers should be used in a mobile phone number - spaces in the number are ignored.

Local Format: 0403 045 692

International Format: 61 403 045 692

Email Address

A plain email address may be used. The text is deemed an email address if it has an '@' character in it.

Special Addresses

 

Special characters can be used to tell SchoolPRO to look up an email address or mobile phone number of a particular type or group of entities.

The format is as follows: {^|*}{b|e|s}>{Control}[>Subject Category]

b | e | s

Specify only one of these characters. They refer to:

b : Send both an Email and an SMS

e : Send an Email only

s : Send an SMS only

^ | *

^ : This caret character indicates that the {Control} value must specify a Tutor Code.

Example - to specify the email address of the tutor AGR: ^e>AGR

* : The asterisk indicates that the the {Control} value is a special lookup variable.

The possible {Control} values when the * is used are:

- STUDENT

The email or mobile phone number of the student.

Example - to send an SMS to the student's mobile phone: *s>STUDENT

- YLC

The Year Level Coordinator of the level that the student is enrolled in. The YLC is identified by a 'YLC' flag with the level(s) specified in the description of the flag.

Note that it is possible to have multiple YLCs for one year level.

Example - to send both an email and SMS to the Year Level Coordinator of this student: *b>YLC

- RCT

The Roll Class teacher of the student. It is determined by looking up the 'Class' that the student is in as set in the Entities module and then finding a teacher who teaches that class.

Example - to send an email to the roll class teacher for the student: *e>RCT

- SCT

The Subject Class Teacher of the student. This option is available only to those triggers that occur based on a specific class event. One example is when a student is enrolled in a new class in the subjects module.

Example - to send an SMS to the teacher of the student who has been enrolled in the teacher's class: *s>SCT

- SST

A Specified Subject Teacher of the student. The SST control value must be followed by the Subject Category of the subject that student is doing.

Example - to send the student's Pastoral Care teacher both an email and an SMS: *b>SST>Pastoral Care

- PG1

The Parent/Guardian1 (usually the mother) of the student.

Example - to send the student's PG1 an email: *e>PG1

- PG2

The Parent/Guardian2 (usually the father) of the student.

Example - to send the student's PG1 an email: *e>PG2

- PG1or2

If the student's PG1 has a valid address then it is used else PG2's address is used.

- PG2or1

If the student's PG2 has a valid address then it is used else PG1's address is used.

Note: to send a message to both PG1 and PG2 simply include an entry for both in the standard format.
