Email Messages

Setup

To use the email facility in SchoolPRO you must enter information about your SMTP (Simple Mail Transfer Protocol) server in the School Registry form. This can be any SMTP server you have permission to use. Normally it will be a email server hosted at your school. However, it could also be an SMTP server provided by your Internet Service provider (eg Bigpond, Optus etc).

Sending an Email

An email can be sent in the following ways:

  1. By setting up a trigger that fires when certain conditions are satisfied. See Triggers for more information.
  2. By creating a merge 'document'. An email merge type is provided that will perform a standard merge creating email messages rather than documents. See Add an Email type document for more information.

The Message Queue

All emails sent from within SchoolPRO are first submitted to the Message Queue form. This form allows you to accept or reject messages that have been added to the queue with a 'Prompt' or 'Submitted' status. Messages added to the queue with 'Immediate' status will be sent immediately.
